Who we are

ShopsConnect.AI is operated by SHOPSCONNECT INC, 120 Jewel St, Santa Cruz, CA. We provide Anna, an AI voice receptionist for independent auto repair shops, and the web platform shops use to set her up and see what she did. This policy covers this website, the platform, and the calls Anna handles for our customer shops.

Information we collect from shops

Account information: name, email, phone, shop name and address, and the people you add to your account.

Setup information: your hours, services, capacity settings, escalation numbers, greeting and other choices you make when configuring Anna. We keep every published version so you can see what changed and roll back.

Billing information: your plan, subscription status, the last four digits of your card and your charge history. Full card details go directly to our payment processor’s hosted pages and never touch our servers.

Contract information: your signed agreement, its dates and status.

Information we collect from website visitors

Analytics: we use Google Analytics to understand which pages are useful and where people stop. It collects the pages you view, a random identifier stored in a cookie to tell repeat visits apart, your approximate location from your IP address, and the device and browser you use. If you are signed in and analytics is on, we also send an account identifier that is a random string, never your name, email or phone. We do not use advertising cookies, we do not turn on Google Signals, and we do not share this data for advertising. You can decline analytics in the notice shown on your first visit or at any time from the control on our cookie policy page, and we honor the Global Privacy Control browser signal.

Campaign source: if you arrive from an ad or a link with campaign tags, we keep that source in a cookie for 90 days and, if you sign up, record it with your shop so we know which marketing works. This stays with us and is not shared with Google or anyone else.

Do Not Track: browsers’ Do Not Track setting has no agreed standard, so we do not respond to it. We do honor the Global Privacy Control signal, which turns analytics off.

Information we collect from callers

When Anna answers a call for a shop, she collects what a receptionist would: the caller’s name, phone number, vehicle, the problem they describe, and the appointment they book. We store this so the shop can see and confirm the appointment and produce the shop’s reports.

Calls may be recorded and transcribed. Anna states this at the start of a recorded call where the shop has recording on. Shops choose their recording setting during setup; the wording Anna uses is kept with each version of the shop’s configuration.

We do not send text messages to callers. The only texts we send are booking alerts to a shop’s own mobile number, when the shop turns them on in setup (see “Text messages (SMS)” in our Terms of Service).

How we use information

To run Anna for your shop: answer calls, book appointments, send confirmations, and escalate to the numbers you chose.

To show you what she did: the confirmation queue, the dashboard, weekly report cards, and her changelog.

To bill you, honour your agreement and support you.

To improve Anna. We look at call outcomes to make her better at booking and handing off. We do not sell caller or shop data.

Who sees it

The shop: a shop sees the calls and appointments Anna handled for that shop only.

Our team: for support and operations, with access limited by role and logged.

Service providers that help us run the product: voice and telephony, hosting and databases, email and text delivery, e-signature, payments, and website analytics (Google Analytics, set up so Google may not use the data for its own purposes). Each only receives what it needs to do its job.

Text messages: we do not sell, rent or share mobile phone numbers, text-messaging opt-in data or consent with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent are never shared with any third party, except the providers that deliver the messages on our behalf.

Law: when required by law or to protect people’s safety.

Your shop’s calendar feed

Each shop can subscribe to its appointments through a private calendar link. That link contains a long secret and anyone who has it can read the appointments, including caller names and phone numbers. Treat it like a password. You can revoke and replace it from your dashboard at any time, and we log when it is fetched.

Retention and deletion

Appointment and call records are kept while your shop is a customer so your history and reports stay accurate. Call recordings are kept for a limited period by default and can be adjusted per shop. When a shop leaves, we provide an export of its data on request and delete or anonymise it after a wind-down period, except what we must keep for tax, legal or billing reasons.

Website analytics data is kept for 14 months. Your analytics consent choice is stored for 180 days and your campaign source for 90 days.

Security

Data is encrypted in transit and at rest with our hosting providers. Access to internal tools is gated by role and audited. Card numbers never reach our systems.

Your choices

Shops can update account and setup information at any time in the dashboard. Callers can ask the shop, or us, to correct or delete their information. Shops can turn booking texts off in setup, or reply STOP to any text to opt out.

Your California privacy rights

If you live in California, the California Consumer Privacy Act gives you the right to know what personal information we collect and how we use it, to ask for a copy, to correct it, to delete it, to opt out of the sale or sharing of personal information, to limit the use of sensitive personal information, and not to be treated differently for exercising these rights.

The categories we collect are described above: identifiers (name, email, phone, shop details, a random account identifier), commercial information (your plan, billing and contract status), internet activity (the pages you view on this site and how you arrived), and, for callers, the details a receptionist would take. We collect them directly from you, from callers, and from your browser. We use them for the purposes listed under How we use information.

We do not sell personal information and we do not share it for cross-context behavioral advertising, so there is no sale or sharing to opt out of. We do not collect sensitive personal information as defined by the Act. We have no actual knowledge of selling or sharing the personal information of consumers under 16; this site is for businesses and is not directed to children. We honor the Global Privacy Control signal as an opt-out preference.

To exercise any of these rights, email the address on our contact page or send us a message through the contact form. We will confirm your identity using the account or phone number the information relates to, respond within 45 days, and will not require you to create an account to make a request. You may authorize an agent to act for you.

Changes to this policy

When we change this policy we post the new version here and update the date at the top. If a change is material, we also email the account holder of every shop before it takes effect.
